At flohjoe OÜ, we value your privacy and handle your personal information with care, transparency, and respect.
This Privacy Policy explains what data we collect, how we use it, and what choices you have when using our website, services, or coaching programs.

We comply with the EU General Data Protection Regulation (GDPR) and other applicable data protection laws.

2. What We Collect and Why

We collect only the information necessary to provide and improve our services.
Depending on your interaction with us, this may include:

Contact information – such as your name, email address, and phone number when you fill out a form, book a call, or subscribe to a newsletter.

Coaching-related information – if you become a client, we may store notes, questionnaires, and session materials to support your progress. These are kept confidential and never shared.

WhatsApp messaging data – If you opt in to WhatsApp communication, we process your phone number and the content and metadata of messages (e.g., timestamps and delivery status) to communicate with you.

Technical information – such as browser type, operating system, referring URLs, and IP address, automatically collected by our website provider to ensure functionality and security.

3. Cookies and Analytics

This website uses cookies to provide a smooth and secure experience and (only if you consent) to understand how visitors use the site.

Essential cookies are required for the website to function and stay secure.

Functional cookies support website features (for example forms and session continuity).

Analytics cookies help us understand website usage (Google Analytics 4). Analytics cookies are only activated after you consent via our cookie banner.

For full details (cookie list, purposes, and durations), please read our Cookie Policy.

Change or withdraw consent: You can change or withdraw your cookie consent at any time via Cookie Settings in the website footer. You can also delete cookies in your browser settings.

4. How We Use Your Data

We use personal data only for:

Responding to inquiries and providing coaching services

Managing bookings, payments, and contracts

Sending service messages (e.g., booking confirmations, reminders, essential updates) via email and/or WhatsApp where this is needed to deliver what you requested

Sending newsletters or marketing updates (only with your consent)

Improving our website and marketing based on aggregated analytics
We do not sell or rent your data.

5. Newsletter & Marketing Communication

Newsletter & Marketing Communication (Email / WhatsApp)

If you subscribe to our newsletter or updates, we use your details only to send what you asked for.

WhatsApp: We only send WhatsApp messages if you have opted in. Where appropriate, we collect separate opt-ins by message category (e.g., service messages vs marketing).

You can opt out at any time:

Email: via the unsubscribe link in any email

WhatsApp: by replying “STOP” or contacting us at [email protected]

Opting out of marketing does not affect essential communication related to coaching, appointments, or billing.

6. Third-Party Services

We work with trusted partners who process data on our behalf:

GoHighLevel / LeadConnector – website hosting, forms, automations, bookings, and messaging tools.

WhatsApp Business Platform (Meta) – if you opt in to WhatsApp, messages are transmitted via WhatsApp’s infrastructure. WhatsApp requires opt-in for business messaging.

Google Analytics – for anonymous traffic analysis

Mailgun (via GHL) – for email delivery

Payment processors – for secure transactions

All third parties comply with GDPR and process data only under contract.

Some providers may process data outside the EEA (including the United States). Where required, transfers are protected using appropriate safeguards (for example, contractual safeguards). HighLevel provides a Data Processing Agreement and describes its approach to secure processing.

7. Coaching Client Confidentiality

As a coaching client, everything you share during sessions — written, verbal, or recorded — is treated with strict confidentiality.
We will never disclose personal or coaching-related information to any third party unless required by law or with your explicit consent.

Session notes are stored securely, accessible only to your coach.
You may request to view or delete them at any time.

8. Data Retention

We retain your information only for as long as necessary to fulfil the purposes described here, comply with legal obligations, or maintain coaching records (typically up to five years).

9. Your Rights

Under GDPR, you have the right to:

Access and receive a copy of your personal data

Correct inaccurate information

Request deletion (“right to be forgotten”)

Withdraw consent for processing or marketing communications

Request restriction of processing

Object to processing (especially direct marketing)

Request data portability (where applicable)

File a complaint with your local data protection authority

To exercise these rights, please email us at [email protected].

10. Security

We use secure servers and encryption where appropriate to protect your data.
Still, no method of online transmission is completely risk-free, so we cannot guarantee absolute security.

11. Updates to This Policy

We may update this policy occasionally to reflect changes in our systems or legal requirements.

We may also update our Cookie Policy when our cookie setup changes.
